ERP Mastery Program Policies

 

1. Record Retention Policy

Vindasius LLC complies with NASBA Standard 24 regarding record retention. We maintain all required records for a minimum of five years to support the validity of CPE credits issued.

Scope of Documentation Retained:

  • Participant records (names, course(s) completed, credits earned, dates of completion).

  • Instructor/author and content reviewer information, including qualifications. Status of licensure is not currently needed as courses are delivered under the Computer Software (non-technical) field of study.

  • Program descriptive materials, including learning objectives, field(s) of study, knowledge level, prerequisites, and course outlines.

  • Copies of instructional content and assessments, including version control and dates of last review/update.

  • Evaluation results collected from participants.

  • Documentation of how CPE credits were determined (e.g., word count methodology, qualified assessment structure).

Delivery Method and Compliance:

  • Vindasius LLC delivers its courses as independent study (self-study) programs hosted on Kajabi.

  • Kajabi’s platform tracks participant progress through modules, completion of required elements, and time stamps of course completion.

  • Each module includes a qualified assessment (quiz) that must be passed with a score of at least 75%. Each attempt draws from a randomized test bank to ensure variation.

  • CPE credit is awarded only upon successful completion of the full course and assessment. Certificates of completion are issued through the Kajabi system.

  • All assessment records, completion data, and certificates are retained electronically in accordance with Standard 24.

Non-Applicable Standards:

  • Standards related to group live (S24-03), group internet based (S24-04), and blended learning (S24-05) programs are not applicable to Vindasius LLC’s current delivery format. Should these delivery methods be offered in the future, our retention policy will be updated to reflect full compliance.

2. Refund and Complaint Resolution Policy

Vindasius LLC is committed to providing high-quality continuing professional education. If a participant is dissatisfied with a course, the participant must first contact the instructor to discuss the reasons for dissatisfaction and to determine whether concerns can be resolved.

Refund Eligibility:

  • Full refunds will be issued for cancellations made before course access has begun.

  • Once course access has been granted, refunds will be considered only if less than 50% of the course has been completed.

  • No refunds will be issued after more than 50% of the course has been delivered.

  • To be eligible for CPE credit, participants must complete 100% of the course and successfully pass the qualified assessment. Therefore, no refunds will be issued to participants who have completed a course in full or received CPE credit.

Complaint Resolution:

  • Participants with complaints regarding course content, delivery, or other matters should contact [email protected]. Complaints will be reviewed promptly by the course instructor.

  • Where possible, issues will be resolved through course access adjustments, clarifications, or alternative accommodations.

  • If the issue cannot be resolved, the complaint will be escalated to the Managing Member of Vindasius LLC for final review.

3. Program Cancellation Policy

Vindasius LLC is committed to delivering all scheduled courses and live Q&A sessions as planned. In the unlikely event that a course or optional live Q&A session must be canceled or rescheduled:

  • Course Access (CPE Programs): Independent study courses hosted on Kajabi will remain continuously accessible. If a course is permanently discontinued, participants will receive either (a) a full refund of fees paid, or (b) credit toward another Vindasius LLC course of equal value.

  • Optional Live Q&A Sessions (Non-CPE): All live Q&A sessions are recorded and made available to registered students for on-demand viewing during their active enrollment period. If a live session is canceled, participants will be notified promptly and provided access to the recorded replacement session or offered a pro-rated credit toward future Q&A sessions.

    • If a participant cannot attend the live session, they will still retain access to the recorded session.

    • No refunds will be granted for participant no-shows.

 

Cancellation Policy: If Vindasius LLC cancels a course, participants will receive a full refund or course credit. All live Q&A sessions are recorded and made available to registered students during their active enrollment period; if a session is canceled, participants will be offered access to the recording or a pro-rated credit.

4. Complaint Resolution Policy

Vindasius LLC is committed to ensuring the quality and integrity of its continuing professional education programs. Participants who have a complaint regarding course content, delivery, instructor performance, or administrative matters should submit the complaint in writing to [email protected].

All complaints will be acknowledged within 5 business days and reviewed by the course instructor. If the issue cannot be resolved at that level, the complaint will be escalated to the Managing Member of Vindasius LLC for final review. Participants will receive a written response outlining the resolution or any corrective action within 15 business days of submission.

5. Course Update Policy 

Vindasius LLC is committed to maintaining current, accurate, and effective course materials in compliance with NASBA Standard No. 4.

  • Review Frequency:

    • Courses in the “Computer Software” field of study are reviewed by a qualified subject matter expert at least once every two years, or more frequently if material changes occur in ERP platforms, data governance practices, or software functionality that could impact learning objectives.

  • Subject Matter Expertise: Courses are developed and reviewed by professionals with demonstrated expertise in ERP systems, enterprise data design, and finance/operations transformation. An active CPA license is not required for this non-technical field of study.

  • Version Control: Each course will display the most recent publication, revision, or review date. Updated versions will replace prior materials in the Kajabi platform, ensuring participants always access the most current content.

  • Triggers for Interim Updates: Updates will be made promptly if significant changes in ERP software capabilities, reporting tools, or best practices occur that materially affect the course’s relevance or accuracy.

  • Documentation: Records of course reviews, reviewer qualifications, update dates, and summaries of changes will be retained for a minimum of five years in accordance with NASBA Standard 24.

6. Program Content and Knowledge Level Policy 

Vindasius LLC develops all CPE programs in compliance with NASBA Standards No. 2 and 3, ensuring that content is appropriate, clearly defined, and consistent with participant needs.

  • Learning Objectives: Each course includes measurable learning objectives that articulate the professional competence participants should achieve upon completion. Objectives guide course design, assessment, and evaluation.

  • Knowledge Level: Courses are classified according to NASBA’s knowledge level categories (Basic, Intermediate, Advanced, Update, Overview). All current Vindasius LLC courses in the Computer Software field of study are offered at the Overview level, making them suitable for professionals at all organizational levels, regardless of prior ERP project experience.

  • Prerequisites and Advance Preparation: Each course description discloses prerequisites and advance preparation requirements, if any. For the Overview-level ERP Mastery courses, prerequisites are explicitly stated as “None.”

  • Consistency with Participant Backgrounds: Course content is designed for CFOs, Controllers, CPAs, and finance professionals with responsibilities for ERP projects. Materials are tailored to provide broad, practical insights that maintain or improve professional competence without requiring specialized technical training.

  • Program Descriptive Materials: Course catalogs and promotional materials include the following information in advance, as required: learning objectives, knowledge level, prerequisites, field of study, instructional delivery method, and CPE credits.

7. Content Development and Review Policy 

Vindasius LLC develops and maintains all CPE programs in compliance with NASBA Standards No. 4-01 and 5.

  • Development by Subject Matter Experts (Standard 4-01):
    All courses are developed by subject matter experts (SMEs) with extensive experience in ERP systems, enterprise software, and finance/operations transformation. Course development begins with the creation of clear learning objectives, aligned with the designated field of study (“Computer Software”), and proceeds through the design of instructional content, activities, and qualified assessments.

  • Independent Content Review (Standard 5):
    Before initial release and upon each significant update, courses are reviewed by a qualified content reviewer other than the developer. Content reviewers must have demonstrated subject matter expertise in ERP systems and enterprise applications. Their role is to confirm that:

    1. Course content is accurate, current, and aligned with stated learning objectives.

    2. Instructional materials are clear, appropriate for Overview-level delivery, and suitable for self-study.

    3. The course is appropriate for the intended audience of finance professionals and CPAs.

  • Documentation:
    Vindasius LLC retains records of all course developers and content reviewers, including their qualifications, date of review, and scope of review. Documentation is maintained for at least five years in compliance with Standard 24.

  • Revision Cycle:
    Content is reviewed at least every two years, or more frequently if changes in ERP technology, software practices, or compliance frameworks materially affect course accuracy or relevance.

8. Content Reviewer Policy 

Vindasius LLC complies with NASBA Standard No. 5 by ensuring that all Computer Software courses are reviewed by qualified content reviewers prior to initial release and after each significant revision.

  • Reviewer Qualifications:
    Content reviewers are professionals with demonstrated expertise in ERP systems, enterprise software, and finance/operations transformation. For the “Computer Software” field of study, reviewers are selected based on practical ERP implementation experience, educational background, or equivalent subject matter knowledge. An active CPA license is not required for this non-technical field.

  • Scope of Review:
    Content reviewers are responsible for confirming that course materials are:

    • Accurate and current with ERP software functionality and best practices.

    • Aligned with the stated learning objectives and knowledge level.

    • Appropriate for self-study delivery and participant comprehension.

  • Review Timing:

    • Prior to first release of any course.

    • Upon each significant course update or at least once every two years, whichever comes first.

  • Documentation:
    Vindasius LLC maintains reviewer records including reviewer name, qualifications, date of review, and confirmation of review scope. These records are retained for a minimum of five years, consistent with Standard 24.

9. Learning Objectives Policy

Vindasius LLC develops all continuing professional education (CPE) courses in compliance with NASBA Standard No. 2.

  • Module-Specific Objectives: Each course module offered by Vindasius LLC is treated as an independent CPE program with its own set of clear, measurable learning objectives. Learning objectives are not written at the overall program level, as courses are sold and delivered individually.

  • Development: Learning objectives are drafted by the course developer and instructor (Cindy Vindasius, MBA, CPA [inactive]) based on decades of ERP implementation, compliance, and finance leadership experience.

  • Validation: Objectives are independently reviewed by a qualified content reviewer to ensure clarity, measurability, and alignment with the intended field of study (“Computer Software”) and knowledge level (“Overview”).

  • Disclosure: Learning objectives are disclosed to participants in advance through course descriptions, catalogs, and promotional materials so that participants can assess relevance to their professional competence needs.

  • Alignment with Course Design: Learning objectives directly inform the instructional design and assessment process. Each qualified assessment includes questions that measure achievement of at least 75% of the stated objectives, ensuring participants demonstrate competence before earning CPE credit.

  • Documentation: Learning objectives, along with reviewer validation, are documented for each module and retained for a minimum of five years in compliance with NASBA Standard 24.
